Awesome Technology Limited ("we", "us", or "our"), the company behind the Zamledger software, is committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and the choices you have. By using our Service you agree to the practices described here.

1. Who We Are

Awesome Technology Limited is a company registered in Zambia and the owner of the Zamledger cloud accounting software, accessible at zamledger.com. For questions about this policy, contact us at support@zamledger.com.

2. Information We Collect

Account information. When you register we collect your name, email address, phone number, and organisation name.

Financial data. We store the accounting records you enter into the Service, including invoices, bills, payments, journal entries, payroll records, and bank transactions. This data is yours — we process it only to provide the Service.

Usage data. We automatically collect information about how you interact with the Service, including IP address, browser type, pages visited, and actions taken. This helps us improve the platform.

Payment information. Subscription payments are processed via our payment partners (MTN MoMo, Airtel Money). We do not store your mobile money PIN or full payment credentials.

Communications. If you contact us for support, we retain those messages to help resolve your issue and improve our Service.

3. How We Use Your Information

  • To provide, operate, and maintain the Service.
  • To create and manage your account and verify your identity.
  • To process subscription payments and send receipts.
  • To send transactional emails (e.g., invoice PDFs to your clients) on your behalf when you submit an invoice through the platform.
  • To send you important notices about the Service, such as changes to these terms or scheduled maintenance.
  • To respond to support requests and troubleshoot issues.
  • To detect and prevent fraud, abuse, or security incidents.
  • To comply with applicable laws and regulations in Zambia.

We do not sell your personal data or your clients' financial data to any third party.

4. Legal Basis for Processing

We process your personal data on the following grounds:

  • Contract performance — processing necessary to deliver the Service you signed up for.
  • Legitimate interests — improving the Service, preventing fraud, and keeping the platform secure.
  • Legal obligation — complying with Zambian law, including the Zambia Data Protection Act No. 3 of 2021.
  • Consent — where we ask for your permission, such as for marketing communications.

5. Data Sharing

We share your data only in the following circumstances:

  • Service providers. We use trusted third parties to help operate the Service (cloud hosting, email delivery, payment processing). They process data only on our instructions.
  • ERPNext. The Service is powered by ERPNext as the underlying accounting engine. Financial records are stored in your ERPNext instance.
  • Mobile money providers. When you initiate a payment collection via MTN MoMo or Airtel Money, the transaction details are shared with the relevant provider to process the payment.
  • Legal requirements. We may disclose your data if required by law, court order, or a request from a Zambian regulatory authority.
  • Business transfers. If Awesome Technology Limited is acquired or merges with another entity, your data may transfer to the new owner, who will be bound by this policy.

6. Data Retention

We retain your account and financial data for as long as your account is active or as needed to provide the Service. If you close your account, you may request an export of your data within 30 days. After that period we will delete or anonymise your data, unless we are required by law to retain it longer (for example, for tax or audit purposes).

7. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. However, no system is completely secure. If we become aware of a breach that affects your data, we will notify you as required by applicable law.

8. Your Rights

Under the Zambia Data Protection Act and applicable law, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your data (subject to legal retention requirements).
  • Object to certain types of processing.
  • Data portability — receive your data in a structured, machine-readable format.
  • Withdraw consent where processing is based on consent.

9. Cookies and Tracking

The Service uses session cookies to keep you logged in and remember your preferences. We do not use third-party advertising cookies. You can control cookies through your browser settings, but disabling them may affect the functionality of the Service.

10. Children's Privacy

The Service is not directed to children under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal data, contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the Service at least 14 days before the changes take effect. Your continued use of the Service after that date constitutes acceptance of the updated policy.
